Job Description
We are seeking a meticulous and dedicated Travel & Expense Specialist to audit and manage expense reports, provide training and assistance to employees, and ensure timely reimbursement. The successful candidate will troubleshoot issues, assist with audit requests, and maintain up-to-date knowledge of company policies and system updates. This role requires excellent communication skills and proficiency in Concur and MS Office.
Responsibilities
- Audit expense reports according to company T&E policy.
- Provide training and guidance to employees in creating expense reports.
- Assist with expense reimbursement issues.
- Ensure timely reimbursement to employees by adhering to department standards.
- Troubleshoot with employees at all levels.
- Assist with audit requests, including providing copies of expense reports as required by HR or legal.
- Answer and follow up on T&E questions as they arise.
- Troubleshoot stuck expense reports daily in Concur due to incorrect coding.
- Raise employee reimbursement issues to the Manager and Director of Accounting for follow-up.
- Keep track of system and policy updates, issues, and collaborate on building efficiencies.
- Serve as a key contact for troubleshooting system errors in Concur, communicating with HR, IT, Finance, and the Concur team to resolve issues.
- Stay informed about company changes regarding new business or business unit changes.
Essential Skills
- 2 - 5 years of experience in expense reimbursements.
- Excellent written and verbal communication skills.
- Experience with Concur.
- Deadline-driven and able to work after hours during peak periods.
- Ability to process 2000 expense reports per month.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Proactive with strong multi-tasking and organizational skills.
- Team player in a multi-cultural environment with strong interpersonal skills.
Additional Skills & Qualifications
- Ability to work after hours when expense report volume increases during summer and end-of-year months.
Work Environment
The position offers a hybrid work environment with hours from 8am-5pm, Monday through Friday. Employees will enjoy free drinks and lunch on-site.
