Job Title: Accounts Payable Associate
Job Description
We are seeking a dedicated and detail-oriented Accounts Payable Associate to join our team. The ideal candidate will have experience in accounting and administrative duties, with a strong understanding of accounts payable processes and general ledger accounts. This role involves managing various accounting tasks, providing administrative support, and maintaining accurate financial records.
Responsibilities
- Review invoices to ensure they match purchase orders and system receipts, and post invoices.
- Post invoices to the correct GL expense and prepaid accounts, ensuring proper approval before posting.
- Print AP aging reports and perform payments by check and EFT.
- Monitor unvouchered payables and received not invoiced receipts.
- Process payments by check or EFT to vendors weekly, ensuring timely payments.
- Review vendor statements to ensure accurate records.
- Reconcile bank statements daily for checks and payments cleared and outstanding.
- Reconcile all credit card receipts to the credit card statement at month-end.
- Maintain an organized filing system.
- Assist with month-end close processes.
- Assist with monitoring various inventory transactions.
- Communicate with receiving and purchasing departments to resolve issues delaying invoice posting.
- Participate in internal training as needed to perform assigned duties.
- Prepare and send out weekly temp timecards to staffing agencies.
- Assist with employee onboarding, including preparing new hire documentation and orientation.
- Provide general administrative support to the HR department, including filing, data entry, and maintaining employee records.
- Assist with benefits administration, including helping employees enroll in benefit plans and assisting with open enrollment processes.
- Greet and check-in guests, ensuring a welcoming and professional environment.
- Provide general administrative support to other departments as needed.
- Perform other duties as assigned.
Essential Skills
- Experience in accounts payable and administrative duties, preferably in a manufacturing environment.
- Strong problem-solving skills and the ability to resolve discrepancies or issues effectively.
- Ability to maintain confidentiality concerning financial and employee files.
- Strong attention to detail and understanding of accounting concepts and general ledger accounts.
- Excellent verbal and written communication skills.
- Highly organized, flexible, and able to work in a fast-paced manufacturing environment.
- Team-oriented and able to thrive in a deadline-driven environment.
- Proficiency in MS Office programs, including Excel, Word, Outlook, and PowerPoint.
Additional Skills & Qualifications
- U.S. Person status required due to export control.
- High school diploma or GED certificate required; associate degree in accounting or bookkeeping preferred.
- Experience working in the Epicor Kinetic ERP system preferred but not required.
