Job Description
We are seeking a dedicated and detail-oriented Procedure Scheduler to join our busy outpatient GI medical practice. This role involves scheduling procedure and office visit appointments, updating patient information, obtaining necessary clearances, and ensuring smooth office operations. The ideal candidate will provide exceptional patient care, work collaboratively with the team, and maintain a high level of expertise in medical scheduling processes.
Responsibilities
- Schedule procedure and office visit appointments according to policy and scripting.
- Update insurance and demographic information when scheduling appointments and procedures.
- Obtain cardiac clearance for patients scheduled for procedures where warranted and follow up to ensure documentation is available.
- Assist with general office functions as requested by site supervisors or managers.
- Support other staff members to ensure proper patient care and office operations.
- Answer incoming phone lines, taking clear, concise messages, and route them appropriately.
- Compose, process, and follow up on electronic phone messages and alerts.
- Maintain familiarity with providers' preferred procedures and preparations.
Essential Skills
- High School Diploma or Equivalent.
- At least 2 years of related experience in a medical office environment.
- Excellent verbal and written communication skills.
- Strong problem-solving skills.
- Exceptional interpersonal and customer service skills.
- Experience with Electronic Medical Records (EMR) systems, Epic experience is a plus.
- Ability to prioritize and multi-task.
- Ability to function well in a high-paced and at times stressful environment.
Additional Skills & Qualifications
- Experience in gastroenterology is a huge plus.
- Experience working at the front desk, data entry, and administrative support.
- Knowledge of medical terminology.
- Experience with scheduling and coordinating appointments.
- Basic understanding of healthcare plans and medical benefits.
- Bilingual abilities are a plus.
Work Environment
This position is based in a busy outpatient GI medical practice.
The office is a clean and professional environment where no procedures or blood draws are performed on-site; all procedures are conducted at a separate surgery center.
The work schedule is Monday through Thursday from 8 am to 5 pm and Friday from 8 am to 4 pm, with an expectation to arrive 15 minutes early for each shift and a 1-hour lunch break.
