Administrative Assistant


Job Description

We are seeking a highly organized and personable Front Desk Administrative Assistant to join our team in Nashville, TN. The ideal candidate will be the first point of contact for visitors and clients, providing exceptional customer service and administrative support. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.


Responsibilities

  • Greet and welcome visitors and clients in a professional and friendly manner.
  • Answer and direct phone calls, taking messages as needed.
  • Manage the front desk area, ensuring it is clean and organized.
  • Handle incoming and outgoing mail and packages.
  • Schedule and coordinate appointments and meetings.
  • Manage travel arrangements, including booking flights and hotels.
  • Schedule conference rooms for meetings.
  • Schedule and set up calls and virtual meetings.
  • Assist with administrative tasks such as data entry, filing, and maintaining records.
  • Provide support to other departments as needed.
  • Maintain office supplies inventory and place orders when necessary.
  • Assist with expense reports when needed.
  • Assist in the preparation of reports and presentations.

Essential Skills

  • High school diploma or equivalent.
  • Proven experience as a front desk or administrative assistant.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.

Additional Skills & Qualifications

  • Additional education or certification in office administration is a plus.
  • Experience in calendar management, travel arrangement, and meeting scheduling.
  • Experience with ordering supplies, travel coordination, and catering.

Work Environment

Office environment. Monday to Friday, 8am to 5pm.
